Workshop Description

This three hour hands-on workshop is originally adapted from WBI's workshop of “Working in Front of Camera”, and redesigned to emphasize skill training of presentation and moderation in videoconference.

The workshop has been delivered by TDLC to partner and client organizations, as well as JICA-Net Centers, and trained more about 70-80 people. Many of them have become VC or distance learning course moderator using GDLN. In 2007, the workshop was offered to new centers of the GDLN Indonesia.

This workshop is a standard product/program of TDLC for regular offering to new GDLN Center staff and new partner and client organizations using two-way interactive videoconferencing for knowledge sharing and learning. It requires 2-3 VC rooms in one organization to run the VC simulation. It can also be conducted among several DLCs in a real distance learning situation.

TDLC staff and consultants can offer this popular and practical hands-on workshop on demand. TDLC is also ready to transfer this learning product to DLCs of the GDLN AP by certifying DLC manager, learning coordinator or faculty members through conducting the workshop jointly.

Major program documents, including workshop design file, presentation slides and running order, are ready to use with minor modification of specific delivery information. Learning Materials (short readings and hand-out material) are also ready to use.

Workshop Design

Introduction

When you use the Global Development Learning Network (GDLN) for learning and knowledge sharing, you will face challenges to moderate a videoconference session which links multiple remote sites, or to present a topic to a diversified audience in distance. The workshop will familiarize you with the videoconferencing facility and technology, guide your preparation, and enhance your moderation and presentation skills in a videoconference session.

  • Questions for Discussion:

    1. Why should the moderator always remind sites to mute their microphone when not speaking?

    2. If some sites do not mute their microphone when not speaking, what will happen, why?

    3. What technical problems may possibly happen? How can you prevent it happen? What back up option should you prepare?

    4. Why do we request reading materials and ppt files to be sent to participating sites 2-3 days before the event?

Instructions for the Videoconference (VC) Simulation

Objectives of VC Simulation

As with the objectives of the whole workshop, we will have a VC simulation in order to familiarize you with VC moderation, presentation, facility and technology. Combined with other cognitive learning methods, such as reading, listening to presentations, and discussing with peers, we believe that this behavioral method - role playing - will make a real difference in participants’ future performance.

Overview of VC Simulation

We link all participating sites, for a simulation, and all the participants are supposed to take part in as a moderator, a local facilitator, or a presenter. (Who plays which role is determined among participants on site.)

Format is rather simple; the agenda is “Something Interesting in My Work or Life”, and all the presenters make “one-minute presentations” about it, while the moderator and local facilitators manage the communication flow. For the detailed timeline of the Simulation, the Running Orders are available on page 2 and 3.

Since we have limited time to have a simulation, some of you do not have a chance to be a moderator or a local facilitator, which we are sorry for, but seeing someone else do the parts will surely give you ideas as to how you should behave in those roles.

Our resource person will closely watch the VC simulation and give feedback after the session. Also, we videotape the Simulation solely for feedback purposes and show a part of everyone’s speech afterwards so that all of you can see yourselves how well you actually did on screen.

  • What are you expected to do? (Focus of Practice)

As Moderator: open the VC; announce all connected sites; introduce participants of your own site; lay out the objectives of the session; remind sites to mute microphone; time management; keep order of conversation between the sites; conclusion and thanks.

As Local Facilitator: respond on behalf of the site; introduce participants of your own site; time management; keep order of conversation within the site; make questions from participants ready.

As Presenter: keep contents interesting, clear and brief; speak a bit slow; project your voice clearly; make eye contact with audience; gesture and composure.
